Troubleshooting
Fixes for common problems: expired logins, YouTube videos set to private, the YouTube daily quota, failed uploads and platforms that are not available yet.
Most problems show up in three places: a note on the Overview, a highlighted tile under Accounts, or a status and message per platform in the post details. Find your case below.
An account needs to be reconnected
The tile under Accounts says Reconnect needed, the overview shows a note, and your webhook receives social_account_reauth_required.
Why it happens. We publish with an access token the platform gave us. Tokens stop working when:
- LinkedIn access expires after 60 days (LinkedIn gives standard apps no refresh token)
- Google refresh tokens expire after 7 days while the Google app is still in testing mode; after Google's verification they last until revoked
- you changed the password of the platform account, or the platform asked you to sign in again for security reasons
- someone removed our app in the platform's settings, or removed the Bluesky app password
- the account lost the right to post, for example to a Facebook page or LinkedIn company page
What to do.
- Open Accounts.
- Click Reconnect on the highlighted tile and sign in again with the same account (for YouTube: the same channel or brand account).
- Posts that failed meanwhile: open them and click Retry failed.
Scheduled posts for the account are kept. We refresh tokens in the background before they expire, so this should be rare.
YouTube set the video to private
The post shows Published, but with the note "YouTube set the video to private".
Why it happens. Google can restrict uploads from API projects that are not yet verified or audited and set every uploaded video to private. Google announced in November 2026 that this lock is lifted for unverified projects, but individual channels or projects can still be affected. We compare the visibility you asked for with what YouTube returns and warn you when they differ.
What to do.
- Open the video in YouTube Studio and set the visibility to public or unlisted by hand.
- Check that the channel itself is allowed to publish publicly (no strikes, phone-verified).
- If you used
youtube_publish_at, the video is private on purpose until that time.
Our status. Our Google app is in Google's verification and YouTube API audit process. The YouTube integration page shows the current status.
YouTube daily quota
The post waits with the note that the YouTube quota is used up.
Why it happens. Google limits uploads per Google Cloud project, and all customers of Video Automation share our project:
- 100 uploads per day (
videos.insert) until the YouTube API audit raises the limit - a separate budget of 10,000 units per day for everything else, for example a thumbnail costs 50 units, a subtitle track 400, adding to a playlist 50 and a first comment 50
What we do. When a budget is used up, the affected posts are not lost – they wait automatically and are sent when the quota resets at midnight Pacific time (09:00 in Germany in winter, 08:00 in summer). Nothing needs to be done. Optional steps such as playlists, subtitles or the first comment are skipped with a warning if only the unit budget is exhausted.
Besides the project quota YouTube has a per-channel limit; if it is reached YouTube answers uploadLimitExceeded. We then also try again the next day. Very new channels have lower limits.
An upload failed
The post shows Failed or Partly published; the details show the message of the platform.
What we already did. Temporary errors – platform overloaded, timeouts, network problems – are retried automatically up to five times with growing intervals (30 seconds up to one hour). Large uploads resume where they stopped.
Common causes.
- The file does not fit the platform – too long, wrong aspect ratio, too large or an unsupported codec. Check the limits on the integration page.
- A required field is missing – YouTube needs a title, Pinterest a board, Facebook a page when several are connected.
- The platform rejected the content – for example TikTok only allows the privacy levels the account offers, and a private TikTok account cannot post publicly.
- Daily limit of the account – each account has a daily cap to protect it from bans.
- Access expired – see above.
What to do. Fix the cause and click Retry failed in the post details – only the failed platforms are sent again. In the API: POST /api/uploadposts/posts/retry. If the media file was already deleted after the storage period, upload it again.
The connect button says "Coming soon"
Why it happens. Each platform reviews third-party apps before they may publish for other people. Our adapters for YouTube, TikTok, Instagram, Facebook, Threads, LinkedIn, Pinterest and X are built and tested; a platform becomes available as soon as its review of our app is done. The Integrations page in the app and the integrations overview show the current status of each one.
What works today. Bluesky (with an app password), the REST API, the Upload-Post compatible API and webhooks.
